What is corporate car sharing? +
Corporate car sharing (also called pool car management) is a model where a single fleet of vehicles is shared across employees of an organization, instead of assigning vehicles 1:1. Employees book a vehicle in advance, pick it up, and return it. The fleet operator gets higher utilization with fewer vehicles.
How does the self-service booking flow work? +
Drivers see available vehicles from the pools they're assigned to, pick a time window, and submit a booking. Depending on configuration, the booking is confirmed automatically or routed to an approver. Start and end mileage is captured at pick-up and return — no paper logbook required.
What is auto-assignment and why does it matter? +
Auto-assignment lets the system pick the optimal vehicle for a booking based on configurable rules — least-utilized, lowest-cost, or pool affinity. This balances wear across the fleet, raises utilization, and removes manual dispatch work for the fleet manager.
Can I run multiple pools (e.g. by department or site)? +
Yes. Vehicles are organized into pools (by site, department, vehicle class, etc.). Drivers can only book from pools they are explicitly granted access to. Each pool can have its own approval rules, auto-assignment strategy, and reporting.
Are approvals required for every booking? +
Optional, configured per tenant. You can run an open booking flow (no approval), or require approval for specific pools, vehicle classes, durations, or driver groups. Self-approval prevention ensures no driver approves their own booking.
Is the booking system GDPR-compliant? +
Yes. Driver and booking data live on your infrastructure, never on a vendor cloud. Audit logs are immutable, retention is configurable, and right-to-be-forgotten requests are supported via pseudonymization that preserves audit-trail integrity.
